PRACTICAL REVIEW GUIDE
AI service proposal checklist: what to review before sending
Before sending an AI service proposal, check the scope, payment milestones, testable acceptance, client inputs, data permissions, model uncertainty, recurring costs and post-launch responsibilities. Record unknowns instead of treating missing information as approval.

Commercial checks
- Define deliverables and exclusions. Specify how additional work changes price or timing.
- State deposit and balance milestones. Link acceptance to named tests and delivery items rather than client satisfaction alone.
- Identify the client inputs, access and decision dates required to deliver.
- Record assumptions behind API usage, subscriptions and maintenance. A proposal cannot establish margin when delivery-cost inputs are missing.
AI-specific checks
- Describe the task, representative evaluation data and acceptable failures. Avoid unconditional accuracy promises.
- State permitted data use and who grants access. Remove credentials and unnecessary personal information before uploading a draft.
- Assign responsibility for model changes, unavailable third-party APIs, human takeover and incidents.
- If the document is an RFP, distinguish buyer requirements from your own response. An RFP alone cannot show whether your proposed delivery is feasible.
Use the review
- Attach each finding to the relevant source passage or missing input. Ask the responsible person to confirm outside facts.
- Revise the complete document, then compare unresolved findings with the earlier version.
- A clean automated report is decision support. It is not approval, a legal opinion, or a guarantee of margin.
